Free email QR code generator.
An email QR code holds a mailto: link with address, subject and message. Enter yours, and a scan opens the email pre-filled, ready to check and send.
How to create an email QR code
-
01
Choose a role address
The address is fixed once printed. Use one that survives staff changes, such as service@, and a subject naming the request type.
-
02
Put the reference in the message
Add the machine number, order or batch so each request arrives identified, and keep it short.
-
03
Print at 5 dots per module and test
In the settings, pick Resolution 300 dpi and Module width 5 in Pixel: 0.4233 mm per module. Export PNG, leave 1.69 mm clear around it and send a test email from an iPhone and an Android phone.
QR code for email: a message ready to send
An email QR code stores a mailto: link as defined in RFC 6068: an address, optionally with a subject and a message text. After the scan, the mail app only prepares the email: the user can edit the draft, send it or discard it. Their mail app adds their address as sender, so you can reply.
Service requests from machines, packaging and delivery documents
A label beside a machine's type plate opens an email with the subject “Service request” and the machine number in the message, so the service desk knows the unit before replying. Spare-part bins and returnable containers can carry a reorder or damage report the same way.
On packaging and inserts, the support email's subject can name product and batch. On delivery notes and test certificates, the document number in the subject ties each question to its document.
Identified requests in your mailbox, and the label space they need
Requests land in the mailbox you already work from, with the reference in subject or message and a sender to reply to. RFC 6068 obliges mail clients to handle subject and body; other fields in a link may be dropped.
The 109-character sample needs 41 × 41 modules: 17.36 mm at 0.4233 mm per module, 20.74 mm with its 4-module quiet zone. At 300 dpi, that module is 5 printer dots; DENSO WAVE recommends at least 4.
Many codes at once: data sheets, Excel and automation
The free generator renders one code per download as PNG, GIF or JPG, and as SVG with a plan. After a free sign-in, a data sheet turns a column of finished mailto: links into one code per row, downloaded as a ZIP file.
Each cell needs the complete link: the engine draws a plain QR Code and adds nothing. In Excel on Windows, ENCODEURL percent-encodes subject and message, and TBarCode Office binds a code to the result cell. Barcode Studio reads links from CSV files; the TBarCode API takes one per HTTP request.

The mailto: link, part by part
| Part | What the generator does |
|---|---|
mailto:service@example.com | One address, written as typed; RFC 6068 requires ?, & and % in it to be percent-encoded |
?subject=Service%20request | Optional; percent-encodes the subject |
&body=Machine%204711… | Optional; percent-encoded. RFC 6068 meant it for short plain text |
Inside subject or message, the separators ?, = and & must appear as %3F, %3D and %26, and # as %23. The generator encodes them for you.
How the message length sets the code size
| Link | Characters | Modules |
|---|---|---|
| Address only | 26 | 25 × 25 (version 2) |
| The sample | 109 | 41 × 41 (version 6) |
| Same subject, 187-character message | 317 | 61 × 61 (version 11) |
Encoding adds length: a space takes 3 characters, ä, ö, ü or ß take 6, and € takes 9.
Mistakes that break the link or lose the request
- A complete link in the address field. The generator puts mailto: in front of it, so the code reads
mailto:mailto:. Enter the bare address. - Line breaks in the message. The generator writes %0A where RFC 6068 requires %0D%0A. Keep to one line, or test on both phone platforms first.
- Hand-built links without encoding. A raw & starts a new field and cuts the message. In the generator's plain QR Code type, a raw € returns an error image.
Email, text message, call or contact
An SMS QR code texts a phone number; an email code adds a subject and reaches a mailbox.
A phone number QR code dials your hotline, for faults that cannot wait.
A vCard QR code saves the address with name and phone to the contacts instead of opening a draft.

What happens when someone scans an email QR code?
How do I add a subject and body to a mailto QR code?
?subject= and &body=, percent-encoded. In a link you build yourself, write a space as %20, not +. RFC 6068 notes that a + for a space cannot be told apart from a real +, as in bill+ietf@example.org.
Can I add CC or BCC recipients?
Do umlauts and accents work in subject and message?
